Privacy policy

This policy explains what Work From Hills ("we", "us") does with your personal information when you use workfromhills.co, send an enquiry or book a stay. We collect only what we need to arrange a stay, and we do not sell it.

What we collect

• When you ask about or book a stay: your name, phone or WhatsApp number, email address if you give one, the home, your dates, the number of people, and anything you write in the message box.
• Your phone number, as you type it: on the booking form we save your number once you have typed it, before you press the button, so that we can help if you do not finish. The form says so beside the field. If you would rather we did not have it, leave the field empty or ask us to delete it.
• When you offer a property: your name, phone number, town, email address if you give one, and what you tell us about the property.
• When we talk: the calls, emails and WhatsApp messages between us, and notes we keep about your booking.
• When you pay: the details on your invoice and the record of your payment. We do not see or store card numbers. Payments go through your bank or the payment provider named on the invoice.
• Identity documents: the law requires partners to see a government photo ID for every adult who stays, and a passport and visa for foreign nationals. The partner collects these when you arrive. We may ask for a copy in advance to pass on to the partner.
• Technical records: like every website, our hosting provider logs your IP address, browser type and the pages requested. We use these to keep the site secure and to stop the forms being abused.

Cookies and tracking

This site sets no advertising cookies and runs no tracking scripts. Our hosting provider may set a short-lived security cookie to tell people from bots. If we add visitor statistics later, we will update this page first.

Why we use it

• To reply to you and to arrange, confirm and manage your booking.
• To send invoices and keep the tax and accounting records the law requires.
• To sort out problems, complaints and refunds.
• To protect the site and our partners from fraud and misuse.

We contact you about your own enquiry or booking. We do not add you to a mailing list unless you ask to join one.

Who sees it

• The partner whose home you book or ask about: your name, phone number, dates, number of people and, where the law requires, your ID.
• Companies that run our systems: our website host, the service that delivers form submissions to our inbox, and our email and messaging providers. They handle the information only to provide that service to us.
• Authorities: when a law, a court order or a lawful request from a government body requires it.

Some of these companies store information on servers outside India. We do not sell or rent your information to anyone.

How long we keep it

• Enquiries that do not become bookings: up to 12 months, then deleted.
• Bookings, invoices and payment records: for as long as tax and accounting law requires, which is currently up to eight years.
• ID copies sent to us in advance: deleted within 30 days of the end of your stay.

Your choices

You can ask us to:

• tell you what information we hold about you;
• correct anything that is wrong or out of date;
• delete your information, unless the law requires us to keep it;
• stop using your information, where we rely on your consent;
• record the name of someone who may act for you if you die or are unable to act.

Write to hello@workfromhills.co. We reply within 30 days. If you are not satisfied with our answer, you may complain to the Data Protection Board of India.

How we protect it

The site is served over an encrypted connection, and access to enquiries and bookings is limited to the people who handle them. No system is perfectly secure. If a breach affects your information, we will tell you and the authorities as the law requires.

Children

The site is for adults. We do not knowingly collect information from anyone under 18. A child may stay with an adult who has booked, and that adult gives us any details needed.

Changes to this policy

We may update this policy. The date at the top shows the latest version.
